Prepare a Deal Offer

Open the Deal and choose Prepare offer from its action buttons (or the More menu when the button is not shown directly). The correct Deal loads automatically using your CRM session; there is no separate Pepperback login. The widget is available to all staff using CRM.

The button is enabled on the Standard Deal layout for both Administrator and Standard staff profiles.

  1. Check the displayed Deal and customer. They load from the supplied Deal ID; there is no Deal picker on this page. The Deal’s Deal Category selects the design and initial products. See choose the Deal Category. During rollout, the field may still be labelled Business Category. A blank or unsupported category must be corrected in CRM.
  2. For MSP - New Client, use the compact MSP configuration table: set the user count, preselected level, recommended level and per-user prices. All three levels are offered; Growth starts preselected and Flow recommended. IT Infrastructure Setup comes next, with one Discovery pack and one-off Onboarding per user. Changing the MSP user count also changes Onboarding quantity; its quantity and price can still be edited separately. Additional products and services comes last, with Extra Devices added as an optional, initially unselected line. Add other Products there, or rename it and add further sections as needed. New MSP client offers load these sections automatically from the Deal Category. Saved drafts reopen with their edits intact; there is no preset button.
  3. Add other Products, quantities, prices and billing frequencies. Use Add plan options when the customer should choose one option; mark add-ons optional. The offer opens with its existing Products or new MSP presets; the full Product search list loads in the background while you edit. If it fails, use Retry Product search list. Your edits are retained. All categories other than MSP - New Client start without products. Newly added lines default to monthly for MSP additions and Tech Retainers, and one-off for Tech Projects, Hardware and Home. Check each line: the category does not prevent mixed billing frequencies.
  4. If a saved offer’s category changed, review its retained products and billing and tick the category review confirmation. The next update changes its design; it does not automatically add onboarding or replace products. Save the draft, then click Create Qwilr quote. The quote opens as a draft for editing inclusions and surrounding text in Qwilr. The configurator does not display or edit marketing copy.
  5. Further changes use Update Qwilr quote, which rebuilds the same draft page from the saved blocks and configured quote. Finish pricing updates before editing inclusions or wording in Qwilr; another update replaces those edits.
  6. Click Refresh from Qwilr to see the customer's selected Products and quantities. Preview acceptance can be used while trying the workflow.

The first creation is left to the operator to perform and inspect. It has no special confirmation or credit setup screen. This page prepares the offer and reads selections; it does not create invoices or change the Deal stage.

MSP additions and Home use a plain pricing, acceptance and company-footer layout. Hardware currently uses the same plain layout. Add any required scope and agreed terms in Qwilr after pricing is final, before sharing. MSP additions belong to an existing managed service; check that relationship before the later service handoff.

Starting prices come from CRM Products and can be overridden for this offer. Extra Devices starts at $25 when its catalogue price is blank. Saving and reopening preserves your overrides; it does not change the catalogue prices.

Configure units, consulting rates and discounts

Select Consulting or Senior Consultant, then choose Hour or Day on the line’s Unit dropdown. This is separate from Billing frequency (One-off, Monthly or Annual), shown below the Product description. Client pricing is labelled separately alongside it. The standard rate loads automatically; quantity is the number of those units. Choose Nonprofit under Client pricing to show the standard price with its configured Nonprofit discount. Both consulting Products start with a 10% nonprofit discount. Standard pricing is the default.

For other Products the unit starts from Offer Default Unit, falling back to Usage Unit. Review or edit the displayed unit. In the compact MSP plan table, expand Unit and discount to access these controls.

To apply another discount, keep Client pricing on Standard, choose Amount or Percent, enter the reduction and give it a customer-facing label. An Amount discount applies once to the line total. Nonprofit replaces the manual line discount; switching back to Standard clears it. The Net total shows the result before any section discount. To negotiate a different consulting base rate, choose Custom rate and edit the price. Older lines without a rate snapshot also show Custom rate until you choose Hour or Day; simply opening them does not change their quoted price.

Use Add section discount for a separate discount row applying to that section's selected Products. It applies after line discounts, so check for an unintended extra discount on nonprofit work. Keep different billing frequencies in separate sections when using this adjustment. For entirely optional Products, use a percentage or individual line discounts. Saving rejects discounts that could exceed the charge, including at the lowest customer quantity or cheapest plan.

To maintain catalogue pricing, open the Product in CRM and edit Standard Hourly Rate, Standard Daily Rate, Nonprofit Discount and Offer Default Unit. The nonprofit field is a percentage: enter 10 for 10%. Ordinary Products can leave the consulting rate fields empty and use Unit Price. Daily prices are maintained independently of hourly prices.

Saved offers keep the rates and nonprofit percentage used when configured. To apply new catalogue pricing, click Use current Product rates on the intended line, review the result, save and update the existing Qwilr draft. Changing Hour/Day within an existing line uses its saved rates. Missing rates or nonprofit discounts must be configured on the Product before saving that choice. Existing proposals are not changed just because someone edits a Product.

Repeat a test proposal

Designated test Deals show a Test proposal section. Choose the intended Deal Category in CRM and reopen the editor. Tick the confirmation and click Reset proposal to discard the saved products, prices and local selections and load that category's starting configuration. MSP new-client offers regain their preset sections; other categories start empty. Configure the offer, then click Update Qwilr quote to rebuild its existing page. If the test Deal has never had a page, the first Create Qwilr quote still creates one and consumes page allowance.

Reset keeps the linked page and replaces its content only on the next quote update. It does not undo project, service or invoice actions. Use preview acceptance in Qwilr for repeatable tests, then Refresh from Qwilr. Repeat preview acceptance after each reset/update; earlier selections belong to the previous test run. Real accepted pages cannot be reset with this tool. For a pending-request error, ask the administrator to reconcile the last request first.

See offer rules for the mapping and technical setup for the integration.

If the widget reports a connection problem, ask the CRM administrator to check the shared offer connection. If the Deal changes while it is open, close and reopen Prepare offer from the intended Deal. If generation has no confirmed result, reopen the offer and check Qwilr before generating again; ask the administrator to resolve a blocked pending request rather than creating another proposal. Opening Qwilr to edit the document still requires your Qwilr access.
